Accounts rejected by Companies House

There are many reasons why accounts may be rejected by Companies House, but currently there are two main reasons:

Accounts have been submitted using a Companies Act 2006 template instead of a Companies Act 1985 template (or vice versa)
Accounts for periods beginning before 6 April 2008 must still be submitted using the old templates. These are specially listed at the end of the list of templates in the New Accounts Workbook dialog in the March 2009 edition of VT Accounts. The normal templates are based on the Companies Act 2006 and are only for use for periods beginning on or after 6 April 2008.

You can tell which template you have created by looking at row 2 of the Check List sheet (the first sheet in the workbook).

If you have chosen the wrong workbook, you can very easily transfer all your data to a new workbook. See Transferring data between workbooks.

Accounts have been incorrectly rejected by Companies House because of the wording of the directors' responsibilities statement on the balance sheet
The balance sheet for a company that does not have an audit must contain a statement saying that the directors acknowledge their responsibilities for complying with the requirements of the Companies Act 2006 with respect to accounting records and the preparation of accounts.

The VT templates use the very simple form of wording suggested on the Companies House website. The VT wording also conforms exactly with section 475(3) (b) of the Companies Act 2006. Section 475 does NOT say that the requirements of the act must be summarised in the statement.

Nevertheless, Companies House have been sending a rejection letter demanding a much longer statement. VT Software raised this matter with Companies House in May 2009. The customer support team at Companies House have acknowledged that Companies House are rejecting accounts in error but that they are having problems in stopping it happening on all occasions.

If your accounts have been rejected because of the responsibilities statement, VT Software suggests that you re-submit the accounts saying that the statement fully complies with section 475 of the Companies Act 2006. It may help to copy and paste into your letter the following email received by VT Software from Companies House:

Dear Mr Hodgson In answer to your query regarding the incorrect rejection letter you received when your Annual Accounts were rejected in error.

As you are aware I forwarded your query to our policy examination department who have informed me this morning that they are aware of the problem and are awaiting the change procedure to take place.

They cannot give a time scale of when that will happen but assure me that staff have been notified in the relevant departments but unfortunately one of two letters are still filtering through.

I apologise for the inconvenience this is causing you but can only assure you that the matter is known to us and steps have been taken to correct the problem.
